Truck Driver Per Diem Guide: Reimbursement vs Deduction

Per diem is often discussed as though it were one type of money. In practice, an employer reimbursement and a self-employed meal deduction affect cash and taxable income differently.

How to use this guide

Read the sections in order the first time, then use the headings as a working checklist. Keep one time period, vehicle or fleet definition, and set of units throughout the calculation. Replace examples with actual documents and note the source date when a rate or rule can change.

Save or download a calculator scenario only after reviewing every field. The site performs planning arithmetic; it does not validate the records, determine legal treatment, submit a form, or bind a carrier, customer, government agency, lender, or tax authority.

Transportation-worker meal allowance

IRS Publication 463 describes a special standard meal allowance for qualifying transportation workers and explains that interstate truck operators subject to Department of Transportation hours-of-service limits may use an 80% meal-expense limitation rather than the general 50% limit. The publication also discusses prorating partial travel days.

Rates and eligibility can change. Use the applicable publication, GSA rate source, employer policy, and professional advice for the travel period.

Reimbursement is not the same as a deduction

An employer payment under an accountable plan can create cash received and may be reported differently from wages when requirements are met. A deduction generally reduces eligible taxable income; it does not add the full allowance to a settlement or bank account.

The weekly planner separates those two treatments. The tax-benefit calculator shows allowance basis, reimbursement offset, potential deductible portion, and estimated tax effect separately.

Tax home and records

Travel must generally be away from a qualifying tax home for the relevant rules to apply. A driver who works indefinitely in many locations or lacks a regular business base may need careful tax-home analysis. Keep dates, destinations, business purpose, overnight status, reimbursements, and supporting travel records.

This site cannot determine eligibility. Use the calculator to organize questions and documents for a qualified tax professional.

Verification and decision checklist

  • Define the business question and time period before collecting inputs.
  • Use primary records and current official sources where they apply.
  • Keep paid miles, all miles, revenue, cash, deduction, tax effect, cost, and profit labels distinct.
  • Run a conservative scenario when price, miles, utilization, delay, or tax treatment is uncertain.
  • Compare the planning result with the controlling contract, settlement, filing instructions, or professional review.

Update the calculation when a route, quarter, rate, carrier policy, equipment decision, or source document changes. A saved estimate is a snapshot of assumptions, not a live guarantee.

Important limits

This guide is general education, not legal, tax, accounting, payroll, lending, investment, insurance, dispatch, safety, or compliance advice. Do not use it to change duty status, exceed equipment ratings, disregard a warning, or make an emergency decision. Current rules, documents, and qualified advice control.
