How to use this calculator

Start by choosing a single time period and definition for every input. Replace the sample values with figures from your own records. Confirm whether a field means paid miles, all miles, gross revenue, taxable cash, reimbursement, deduction, or business cost before entering it. The tool recalculates locally as a planning aid.

Use it to reconcile trip sheets, ELD or GPS mileage, odometer records, and fuel totals for the reporting period. Save more than one scenario when uncertainty matters: a conservative case, an expected case, and a strong case. Keep units and periods consistent, and write down where each assumption came from so the comparison can be repeated.

Formula and calculation sequence

Odometer miles equal ending minus beginning odometer. Fleet MPG equals reported qualified miles divided by total gallons. Variance compares entered jurisdiction mileage with odometer movement after an entered non-IFTA adjustment.

The result set includes Odometer movement, Adjusted comparison miles, Mileage variance, Absolute variance, Fleet MPG, Gallons per 100 miles. Intermediate outputs are shown when they help detect a missing cost or a mismatched unit. Zero-value and zero-denominator cases return a warning instead of displaying infinity or presenting an unsupported decision.

Worked planning example

If jurisdiction records total 24,800 miles, odometers show 25,000 miles, and 150 miles are documented as non-IFTA, the remaining 50-mile difference deserves review.
