IFTA Recordkeeping Checklist for Owner-Operators

A defensible return begins with records collected during the quarter, not reconstructed on the filing deadline. This checklist turns the calculation inputs into an operating routine.

How to use this guide

Read the sections in order the first time, then use the headings as a working checklist. Keep one time period, vehicle or fleet definition, and set of units throughout the calculation. Replace examples with actual documents and note the source date when a rate or rule can change.

Save or download a calculator scenario only after reviewing every field. The site performs planning arithmetic; it does not validate the records, determine legal treatment, submit a form, or bind a carrier, customer, government agency, lender, or tax authority.

Mileage records

  • Capture beginning and ending odometer or hubometer readings for each qualified vehicle.
  • Retain trip dates, origins, destinations, routes, and jurisdiction distance.
  • Reconcile ELD, GPS, dispatch, toll, and trip-sheet records instead of assuming one source is complete.
  • Document exempt, non-IFTA, personal, or temporary miles with the rule and source supporting the treatment.

Compare the sum of jurisdiction miles with vehicle movement. Investigate variances while dispatch and trip details are still available.

Fuel-purchase records

  • Retain seller name and location, purchase date, fuel type, gallons, price, vehicle or unit identification, and evidence of payment where required.
  • Separate bulk-fuel withdrawals and maintain inventory or withdrawal records that connect fuel to qualified vehicles.
  • Do not claim tax-paid credit from an unsupported receipt or a purchase assigned to the wrong period, unit, or fuel type.

Total gallons used in fleet MPG must match the same fleet and period as qualified miles.

Quarter-end review

Run the fleet MPG reconciliation, compare reported distance with odometer movement, and review unusual MPG changes. Obtain rates from the official matrix and retain the access date. Compare the planning calculation with the base-jurisdiction return.

After filing, retain the completed return, payment or credit confirmation, source records, adjustment notes, and any amended-return support according to applicable retention requirements.

Verification and decision checklist

  • Define the business question and time period before collecting inputs.
  • Use primary records and current official sources where they apply.
  • Keep paid miles, all miles, revenue, cash, deduction, tax effect, cost, and profit labels distinct.
  • Run a conservative scenario when price, miles, utilization, delay, or tax treatment is uncertain.
  • Compare the planning result with the controlling contract, settlement, filing instructions, or professional review.

Update the calculation when a route, quarter, rate, carrier policy, equipment decision, or source document changes. A saved estimate is a snapshot of assumptions, not a live guarantee.
