How to use this guide
Read the sections in order the first time, then use the headings as a working checklist. Keep one time period, vehicle or fleet definition, and set of units throughout the calculation. Replace examples with actual documents and note the source date when a rate or rule can change.
Save or download a calculator scenario only after reviewing every field. The site performs planning arithmetic; it does not validate the records, determine legal treatment, submit a form, or bind a carrier, customer, government agency, lender, or tax authority.
Choose the quarter and fuel type
The official matrix organizes rates by reporting quarter and fuel type. Confirm that the quarter matches the travel and fuel-purchase period rather than today's date. Diesel, gasoline, propane, natural gas, and other fuels can have different rates. A rate copied from the correct jurisdiction but the wrong fuel column is still incorrect.
Canadian rates may be displayed with currency conversion information. Do not mix U.S. and Canadian figures or ignore the exchange-rate method shown for the return. If a jurisdiction has a surcharge row or footnote, follow the base-jurisdiction instructions for how it is reported.
Understand preliminary status
The IFTA Tax Rate Matrix states when a quarter is not final and identifies the member jurisdictions responsible for their reported information. That status matters. A planning calculation can use the latest available figures when clearly labeled, but a final filing should be checked again against the official matrix and base-jurisdiction system.
Record the quarter, fuel type, rate, source URL, date accessed, and any relevant footnote. This makes a later review reproducible when a rate changes or a return is amended.
Why this site does not publish a silent live table
A public calculator that automatically falls back to an earlier quarter can create a dangerous appearance of accuracy. Driver Pay Calc therefore uses manual current-rate inputs and provides the official source link beside the IFTA workflow. The calculation remains available even if an external site is temporarily unavailable, but the user controls and can verify the rate.
Use the IFTA tax calculator after entering verified rates. If no rate is entered, the result remains a mileage and gallon planning check rather than claiming tax due or credit.
Verification and decision checklist
- Define the business question and time period before collecting inputs.
- Use primary records and current official sources where they apply.
- Keep paid miles, all miles, revenue, cash, deduction, tax effect, cost, and profit labels distinct.
- Run a conservative scenario when price, miles, utilization, delay, or tax treatment is uncertain.
- Compare the planning result with the controlling contract, settlement, filing instructions, or professional review.
Update the calculation when a route, quarter, rate, carrier policy, equipment decision, or source document changes. A saved estimate is a snapshot of assumptions, not a live guarantee.
